Know-How Transfer

The JCI European Know-How Transfer (EUKHT) is a job shadowing exchange program between young leaders and European decision-makers.

The program allows participants to experience work at the European Parliament and to take part in the European decision-making process.

At the same time, as an exchange of knowledge and experience the participating Members of the European Parliament (MEP) learn from socially responsible young leaders and entrepreneurs about challenges their constituencies are facing, common solutions and community needs. Thus, the project strengthens personal contacts and increases understanding between European politicians and young leaders.

The programme is open to both JCI and non JCI Members between the age of 18 and 40 years.

Non JCI Members will be put in contact with the National Organisation they correspond to.

Participants are welcome from any country in the world, not only those coming from EU member states. We are subject to European Parliament strict rules and regulations for admissions of participants to this programme and all EU institutions premisses. Their decision is final and will not be appealed. 

• Understand how the MEPs work and how the European Institutions work
• Learn how you can contribute to shape European politics and the future of Europe
• Participate in online training sessions, virtual group meetings and in person plenary sessions with the Representatives of the European Institutions on current important topics
• Be introduced to key European Institutions (European Parliament, European Commission) and the way they operate at national, European and international level
• Learn more about pursuing a career at any EU institution
• Meet and network with other international NGOs that have the same mission as JCI and build new connections

Registration: Registration is done Online.

The participation fee does not cover any flights, accommodation and F&B. Participants would need to support themselves with the rest of the costs but they are in control of these costs, by choosing how to travel, where to stay and what to consume F&B related.
Your registration will be considered complete once you submit the payment of the registration fee via EasySignup platform. 

Please note that we will review the applications before sending the official confirmation email.

The daily programme when in Brussels will start early everyday, so we recommend you book hosting options that have quick or close access to public transport.

Participation Fee Reimbursement Policy

1. Purpose & Scope

This policy applies only to reimbursement of participation fees for JCI European Know How Transfer events when:

• A participation fee has been paid and
• Prior written approval is received confirming that fee reimbursement is permitted.

Costs for travel, lodging, or meals are not in the scope of this policy.

2. Eligibility

To qualify for reimbursement:

• The participant must be pre‑approved to receive the reimbursement.
• No duplicate funding is permitted: reimbursements will be approved only for the account from which the payment was made initially.

3. Cancellation & Refund Terms

• Full refund of the participation fee is offered if cancellation is requested in writing up to 31 August, minus bank processing fees.
• After the cancellation cutoff, no refund is provided, even in the case of non-attendance or early departure.
• Cancellations must be communicated in writing to the organizer by the participant

4. Event Changes

• If the event is cancelled by the organizer, participants receive a full refund, minus any reasonable processing fees (to a maximum of 18–20%).
• If the event switches format (e.g. in-person → hybrid/virtual), participants may be offered a partial refund if the revised format significantly alters the expected interaction experience, per established norms

5. Reimbursement Request Process

1. Pre‑approval: Participants must request and secure written prior authorization confirming eligibility for reimbursement via email to [email protected]  and [email protected] .
2. Review & Payment: Claims are evaluated for compliance. If approved, reimbursement is processed by bank transfer—typically within 30 days of approval.

6. Participation Transfer Option

• Participation tickets are transferable to another eligible JCI member.

• Requests must be submitted on or before 31 August, to the two emails mentioned above.

• The new participant must meet all program criteria and be approved by the organizing team.

• No additional fees will apply for the transfer unless a processing cost is incurred.

7. Communication Clause

“If you cancel in writing before 31 August 2026, you will receive a refund of your paid participation fee less the bank processing fees. After that date, no refund is available. If the event is cancelled or shifted to an alternate format, participants will be offered proportional reimbursement.
